Term time - 35 weeks per annum

Mon to Fri 7.30 am to 4.30 pm;

Circa 17 Saturdays per annum: 7.30 am to 12.30 pm

We have a vacancy for a School Administrator / Logistics Coordinator to play a key customer-facing role in our busy front office. This role reports to the PA to the Deputy Heads is vital in giving a positive and professional first impression of the school and will involve working collaboratively with colleagues in the front office during busy times. S/he will be responsible for the daily coordination and smooth running of the school bus service for the Bursar, in cooperation with school bus drivers, parents, pupils and staff.

The successful candidate will:

  • be well organised, methodical and analytical;
  • be confident with MS Office applications, Outlook, Word and Excel in particular; also in the use of using databases such as iSAMS for reporting and administrative processes
  • have excellent interpersonal skills, with a cheerful "can do" attitude
  • be a resilient, adaptable and energetic character to respond effectively in a very busy office environment;
  • be a calm team player who can prioritise effectively and work efficiently
  • Assist the School Secretary in welcoming and signing in visitors, directing them as appropriate, dealing with face to face enquiries
  • Help pupils with enquiries (lost property, match changes, messages from parents etc)
  • Keep a record of staff signing out
  • Assist the Director of Admissions with beginning and end of year administration and preparation.
  • Assist the PA to Deputy Head with ad hoc administrative tasks in busy times
  • Maintain appropriate administrative and filing systems for the front office areas of responsibility, ensuring all documents needed for daily use are prepared and ready for the next day.
  • Answer telephone calls, redirect as necessary or take messages ensuring calls are answered promptly and courteously
  • Make refreshments for visitors as required
  • Ensure that the reception area is always tidy and welcoming.

  • 35 weeks per year = actual term time of 32 weeks, plus a few days before the start and after the end of each term for admin
  • Monday to Friday: 7.30 am to 4.30 pm
  • 17 Saturdays: 7.30 am to 12.30 pm (shared rota with other office team members)

45 hours per week term time Monday to Friday, plus 5 hours on each of the Saturdays.
