EA to CEO and Group Chief of Staff

We are looking for a top-end hard-working EA Fantastic Package Office Based Role 70,000 plus

Job Title: EA and Office Manager

Reporting to: Chief of Staff and Head of Innovations

Job purpose:

The Executive Assistant is being recruited to provide support to the Group CEO, and the Group Chief of Staff. The successful candidate will be primarily based in the London office (currently being fitted out in Albemarle Street) with occasional travel to the main company office in Farnborough. This role will be in addition to the existing EA support (consisting of a team of three currently based in Farnborough).

There are three main elements to this role:

  • Executive Assistant responsibilities
  • Assistance to the Chief of Staff
  • Office management support

Key responsibilities:

EA responsibilities

  • Extensive complex diary management
  • Provide administrative support regarding ongoing correspondence, emails, record keeping and letter writing
  • Support with preparation of reports and presentations
  • Effectively liaise with clients, teams, EAs and other contacts
  • Ad-hoc project work such as price comparisons, company research, etc.
  • Monitor out-of-hours email and respond to any urgent email questions and requests. Identify and escalate if action is required when CEO or COS are travelling or on vacation.
  • Organise dinners and events for various clients
  • Assist in managing key relationships with both internal personnel and external companies
  • Business & Personal: expenses, cars, property management, running errands, travel and accommodation as required

Assistance to the Chief of Staff

  • Work with the Chief of Staff to ensure the smooth running of the company Board meetings, and other meetings as required
  • Compiling of meeting packs and project support documents
  • Create and circulate documentation and agenda prior to meetings
  • Taking minutes at Board meetings, Strategic Board meetings, Operational Meetings and any other commercially sensitive meetings as specified.

Office Management support

  • Ensure smooth running of day-to-day office operations and requirements
  • Management of general contracts and suppliers, outsourced providers including service delivery and equipment
  • Administrative and marketing responsibilities including filing, maintenance of records, managing stationery supplies and company materials

Essential attributes and experience:

  • Several years of EA/PA experience at the Director level/ supporting C-suite executives in a fast-paced environment
  • Exceptional organisational, planning and prioritisation skills and attention to detail
  • Ability to deal with senior clients and relationships with the executives
  • Extensive experience in diary management, arranging calls and prioritizing emails
  • Strong track record of being a team player within a fast-moving and entrepreneurial environment
  • Ability to deal with uncertainty - many processes are not yet defined in the business and the successful candidate must be comfortable within this environment
  • Excellent communication (written and verbal) and interpersonal skills
  • A highly motivated, organised individual who is able to work effectively with minimal supervision
  • Impeccable attention to detail and high levels of integrity
  • Professional self-starter and ability to motivate others, and influence work behaviours
  • Discretion
